Athletic Fields Committee Meeting

September 6, 2005

Minutes

Present: John Chamberlin, Wayne Gersen, John Aubin, Geoffrey Vitt, Cam Brown, Barry Harwick, Bob White, Paul Campagna, Peter Krass, Mike Jackson, Larry Pilchman, Jonathan Brush

Design Build Update

  • Unanimous Dresden board vote to pursue plan
  • Interview Process for Contractors
    • 6 firms met (variety of experiences) all expected to submit bids, expected to be responsible for whole project. Left some room for creative problem solving.  As of today, no forms in. When they come in, John will notify us, so we can look at it.
  • Discussion of Phased project:  First phase, focus on building the fields to meet the needs.  Next phase includes enhancements (community-friendly features).

Timeline. 

  • Design-Build Subcommittee meet next week Wednesday 9/14, at 3:30 SAU office, once bids are in.
  • Bids hold for 120 days. Need to keep in mind that price of materials unpredictable (going up)
  • Decision about which to go with, and how much, will be made at Sept 19th meeting between AFC and DSB.

Updates on previous initiatives and status (see Wayne’s handout dated Sept 6)

  • Norwich “Yankee Trade” swap off the table
  • Question regarding if there is as much dirt in Norwich as expected
  • If not, dirt from under gym available
  • Fields status:
  • Fullington Field not avail for Fall, maybe not for Spring either
  • Sachem smaller, all fields in bad shape because of water shortage. 
  • RMS not ready, but using it because that’s all there is.
  • Some discussion about seeding Norwich fields;  need two full growing season. Act 250 needs to be pursued, so don’t miss a growing season. 

The Bond Vote Responsibilities

Outreach/Education Program

  • Once we know the final plan and cost, we’ll develop materials that explain it.

Information materials for public

  • Meeting with HHS Neighbors tentatively scheduled for Sept 20th.
  • High School Open House Sept 22:  Good opportunity to talk to community about it.
  • RMS Open House October

   

Community Partners to Consider

Co-Op, parking. 

  • Shared use of parking spaces would benefit both (Employee shuttle lot, which will be available to Dresden on off-hours. 
  • They could use our lots for Farmer’s Market overflow.
  • Need to think about flow

Trails groups

  • Currently pursuing other projects;  use of Dresden Norwich land on back burner
  • Looking to connect bike path to fields (town and transportation committee would need to be part of this;  this would be eligible for federal funding)

Norwich Lions Club

  • Need to ask Ed Childs about intentions

Fundraising Update

Donations to date

  • Responses have been very positive
  • $36k so far
  • Need to avoid hard sell;  gentle encouragement better.
  • Hanover Improvement Society may be interested in making a donation

            Cam and Geoffrey indicated they would talk with folks they know on the board.

  • Committee members asked to let Peter or Kathy know who they have contacted to solicit donations, so there’s not duplication of effort or unwitting harassment.   

Upcoming Dates of Note:

September 8th: Design-build bids due in.  John Aubin will let us know when they’ll be available to view in the SAU office

September 12th, Wayne meet with Hanover Selectboard about sharing

September 14th, 3:30, in SAU office:  Design-Build Subcommittee meet

September 14th, Wayne meet with Norwich Selectboard about sharing

September 19th AFC meeting with board to discuss Bond figure and final proposal

September 20th, tentative meeting with HHS Neighbors regarding lights.  Awaiting where& when.

September 22nd,  HHS Open House; good time to let school community know about fields plans.
